Data Deletion

This page explains how to request deletion of personal data that ReplyFlow holds about you. It satisfies the User Data Deletion requirement of the Meta Platform Terms and the right to erasure set out in Article 17 of the EU General Data Protection Regulation (GDPR).

If you are a ReplyFlow customer (the business that subscribes)
You have two ways to delete your data:
- Self-service in the app. Sign in, go to Settings → Account → Delete account, and confirm. Your account, business data, channel connections, and conversations are queued for deletion immediately and are permanently removed within 30 days. This action cannot be undone.
- By email. Send a deletion request to hello@replyflow.tech from the email address registered on your account. Subject line: "Data deletion request". Please include your business name and the email of the account. We confirm receipt within 2 business days and complete the deletion within 30 days.
If you are an end-user of a business that uses ReplyFlow
When a business connects WhatsApp, Instagram, Messenger, Telegram, Viber, or our web widget to ReplyFlow, the messages you send to that business are processed by ReplyFlow on the business's behalf. The business — not ReplyFlow — is the controller of that data.
- Contact the business directly first. Ask them to remove your conversation history. They can do this from inside ReplyFlow.
- If the business is unreachable or does not respond, write to us at hello@replyflow.tech. Include the channel and the phone number, handle, or email you used to contact the business, and the approximate date range. We will route your request to the business and follow up to ensure it is completed.
How to revoke ReplyFlow's access to your Meta accounts
If you previously connected your WhatsApp Business, Instagram, or Facebook Page to ReplyFlow through Meta's login flow, you can revoke that authorization at any time:
- Go to facebook.com/settings → Business Integrations
- Find ReplyFlow in the list
- Click Remove
Revoking access stops new messages from flowing into ReplyFlow but does not delete past conversations. Use the steps above to delete those.
What gets deleted
- Account and profile data
- Business profile, team members, and invitations
- Connected channel credentials and webhook subscriptions
- Conversations, messages, attachments, and AI memory entries
- Calendar events and bookings created in ReplyFlow
- Usage logs tied to your account (within 90 days)
What we may retain
We may retain a minimum amount of data when required by law or for legitimate purposes, as described in the Privacy Policy:
- Billing and tax records — retained for the period required by Greek tax law (currently a minimum of 5 years for VAT and accounting records; 10 years where applicable)
- Records needed to defend against legal claims, until the relevant statute of limitations expires
- Anonymized, aggregated metrics that cannot be linked back to you
Confirmation
Once your deletion is complete, we send a confirmation email to the address on file. If you do not receive confirmation within 30 days of submitting your request, please follow up at hello@replyflow.tech.
